The usual way:

 

With a basic task or email system, a tradie might send through a quote with a few different options. You’d manually forward it to the landlord, wait for a reply, clarify which options they want, remove the unwanted items from the quote, send the final approval to the tradie, follow up to make sure the job is scheduled, send entry notices to the tenant, and keep everyone updated.

 

With a real workflow:

 

The tradie uploads their quote into the system, including all alternatives and add-ons. The landlord receives it, selects which option they wish to proceed with and hits “accept.”

 

Instantly, the unselected items are removed, the approved job is sent to the tradie to schedule, the system checks their timeframe, sends entry notices to tenants and notifies everyone, without you lifting another finger.

 

2. Automated Lease Non-Renewal & Seamless Vacate Management

 

The usual way:

 

A tenant emails to say they won’t be renewing. You reply asking for a formal notice, prepare the vacate documentation, update your calendar with the vacate date, organise advertising, schedule inspections, book smoke alarm checks, and inform the landlord and tenants of next steps.

 

With a real workflow:

 

The tenant responds via the system, indicating they won’t renew. Automatically, a pre-filled Notice of Intention to Leave form is sent for them to date, sign and return.

 

The vacate date triggers advertising, an exit inspection, smoke alarm servicing (in QLD), a bond claim process, landlord notifications, and reminders to PMs who need to review advertising; all without you sending a single extra email or opening a spreadsheet.

 

3. Lease Renewal with Mid-Term Rent Increase

 

The usual way:

 

The landlord approves a renewal and wants to add a mid-term rent increase. You check rent adjustment rules, create the lease, send it to the tenant, track for a response, handle any rent change requests, update the agreement, store it, and remember to remind the tenant about the increase later.

 

With a real workflow:

 

The landlord adds the mid-term increase in their approval. The system checks compliance against legal and agency rules, generates the lease, sends it to the tenant, manages any counter-offers, files the signed lease, and sends reminders about the upcoming increase, ensuring the change happens seamlessly when due.
